Form Collections
Organize related forms into project-level collections
Form Collections organizes related feedback forms into reusable project-level groups. Collections make a large Forms workspace easier to browse without changing a form's publishing status, targeting, or responses.
Each form can belong to one collection. Forms that are not assigned to a collection remain under Uncategorized.
When collections help
As a project grows, its Forms workspace can contain many forms created for different teams, campaigns, and recurring workflows. Collections reduce that clutter by giving everyone a predictable way to find the forms they need.
You can organize collections in several ways:
| Organization strategy | Example collections | When it works well |
|---|---|---|
| Cadence | One-time forms, Recurring forms | Separate temporary campaigns and research from ongoing pulse checks, NPS, CSAT, or lifecycle surveys. |
| Team or owner | Customer Success, Product Management, Marketing, Research | Help teams quickly find and manage the forms they own. |
| Purpose or journey | Onboarding, Product discovery, Support follow-up, Churn | Group forms around the customer journey or the decision they support. |
For example, a project might have a Customer Success collection for onboarding and renewal surveys, and a Product Management collection for feature discovery and usability research. Another project may be better served by One-time forms and Recurring forms if cadence is the main distinction.
Because a form can belong to only one collection, choose the primary structure that will be easiest for your team to maintain. Use clear, consistent names so new forms have an obvious home.
Collections only organize the Forms workspace. Moving a form between collections does not change its publishing status, targeting, responses, reporting, or Feedback Intelligence configuration.
Where to find it
- Open your project in the encatch dashboard.
- Go to Settings.
- Under Feedback Settings, select Form Collections.
You can also filter by collection from the main Forms workspace.
Create a collection
- Select New collection, or Create collection when no collections exist.
- Enter a name and choose a color.
- Save the collection.
Collections are shared across the current project and can be used by any form in that project.
Assign forms to a collection
- Find the collection and select Manage forms.
- Search for forms when needed.
- Select the forms that should belong to the collection.
- Select Save assignments.
Assigning a form moves it out of its previous collection. Clearing a selected form leaves it uncategorized.
Reorder, edit, or delete collections
- Use the arrow controls to change the order in which collections appear.
- Use the edit action to change a collection's name or color.
- Use the delete action to remove a collection.
Deleting a collection does not delete its forms. The affected forms become uncategorized and remain available in the Forms workspace.
Permissions
People with view access can see collections. Creating, editing, reordering, deleting, and assigning forms requires feedback settings update access.
