Pre-defined Prompts

Pre-defined Prompts lets your team create project-specific instructions for AI analysis. Custom prompts appear alongside the built-in prompts in the project's AI analysis workflows.

Built-in prompts remain available and are managed by Encatch. This page only manages your project's custom prompts.

Where to find it

1. Open your project in the encatch dashboard.
2. Go to Settings.
3. Under Feedback Settings, select Pre-defined Prompts.

Create a prompt

1. Select New prompt.
2. Enter a Title of up to 100 characters.
3. Enter the Prompt instructions, up to 8,000 characters.
4. Select Create prompt.

Write the prompt so it clearly states what the AI should analyze and how the result should be presented.

Example prompt ideas

The examples below are starting points for common analysis workflows. Copy one into a new pre-defined prompt, then adjust the categories, audience, date range, or output format for your team.

Adapt the examples

You can make these prompts more useful by adding your own context, such as:

• The teams that will use the output.
• Your priority definitions or escalation rules.
• Important customer segments, plans, regions, or platforms.
• The meeting type and intended audience.
• Required output formats, such as a table, memo, presentation outline, or action register.
• Topics that must be included or excluded.

The AI can only use fields and evidence available in the selected dataset. A precise prompt improves structure, but it cannot supply missing customer attributes or historical comparisons.

Control prompt visibility

Each prompt is either:

• Visible — Available in AI prompt options for reports.
• Hidden — Kept in the project but removed from those prompt menus.

Use the prompt's actions menu to show or hide it.

Edit, reorder, or delete prompts

• Use the edit action to change a prompt's title or instructions.
• Select the order action, drag prompts into the preferred order, and save the arrangement.
• Delete a prompt to permanently remove it from the project and its prompt menus.

A project can contain up to 40 custom prompts.

Permissions

People with view access can see the custom prompt list. Creating, editing, reordering, changing visibility, and deleting prompts requires global settings update access.
